2. What information we collect:

Depending on our relationship with you, we may collect and use:

·       your name, contact details, role, organisation and other professional information you choose to provide;

·       information relevant to coaching or mentoring conversations, including confidential working notes;

·       meeting details, agreed actions and brief session summaries;

·       service, contractual, invoicing and payment information;

·       enquiries, correspondence, feedback and complaints;

·       marketing preferences and information you provide when requesting resources, joining a masterclass or subscribing to updates;

·       AI-generated meeting notes or summaries where Zoom AI Companion is used; and

·       occasional audio recordings of calls where an audio recording is made.

We do not routinely record coaching sessions on video. Where an audio recording or AI-assisted meeting feature is used, this will be handled in accordance with the purpose for which it is used and our confidentiality obligations.

3. How and why we use personal information:

We use personal information where necessary to:

·       provide coaching, mentoring and related professional services;

·       prepare for and follow up on sessions and maintain appropriate professional records;

·       manage appointments, enquiries, contracts, invoicing and administration;

·       meet legal, regulatory, accounting and tax obligations;

·       respond to concerns, complaints or potential legal claims;

·       improve our services and professional practice; and

·       send resources, masterclass information, leadership insights or other marketing communications where permitted.

Depending on the activity, our lawful basis may include performance of a contract, compliance with a legal obligation, our legitimate interests in running and protecting our professional practice, or consent where consent is required. Where we rely on consent, you may withdraw it at any time.

4. Coaching and mentoring through other organisations:

We sometimes provide coaching or mentoring through third-party organisations, such as coaching providers, employers or educational institutions.

In these circumstances, we may keep confidential working notes to support the coaching or mentoring relationship. These notes are not routinely shared with the organisation that arranged the engagement.

Where required as part of an engagement, we may provide the commissioning organisation with limited information, such as confirmation that a session has taken place or a brief professional summary. We only share information that is appropriate to the engagement and subject to applicable contractual and confidentiality obligations.

The commissioning organisation may separately process personal information under its own privacy notice and data protection responsibilities. Our role as controller, processor or, where applicable, joint controller may depend on the particular engagement and contractual arrangements. Retention requirements for information processed on behalf of another organisation may therefore differ from the standard periods described below.

5. Where personal information comes from:

We normally receive personal information:

·       directly from you;

·       from an organisation that arranges coaching or mentoring for you;

·       through appointment, website, email or communication tools you use to contact us; or

·       from information you choose to make available in connection with our professional relationship.

6. Service providers and digital tools:

We use trusted service providers and digital tools to operate our practice. Depending on the service, these may process personal information on our behalf or under their own data protection responsibilities.

·       Zoom, including Zoom AI Companion where enabled, for online meetings and AI-assisted meeting notes or summaries;

·       Systeme.io for website, forms, resources and marketing-related functions;

·       TidyCal for appointment scheduling;

·       email, document storage and other business administration services; and

·       professional advisers or authorities where disclosure is necessary for legal, accounting, regulatory or claims purposes.

We do not sell personal information. We only share information where it is necessary for the relevant service, required by law, authorised by you, or otherwise permitted under applicable data protection law.

7. International clients and transfers:

Our clients, mentees and commissioning organisations may be located in the United Kingdom, the European Economic Area and other countries. Some of the service providers we use may also process information outside the country in which you are located.

Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate safeguards or other lawful transfer mechanisms apply where required. Additional data protection rules, including the EU GDPR, may apply to particular engagements depending on the circumstances.

8. How long we keep information:

We keep personal information only for as long as we reasonably need it, taking account of the purpose for which it was collected, our professional and contractual responsibilities, and any legal or regulatory requirements.

Coaching and mentoring working notes and related client records
Normally up to 3 years after our work together ends.

Occasional audio recordings
Normally deleted within 90 days once they are no longer needed.

Prospective client enquiries that do not lead to an engagement
Normally up to 12 months after our last contact.

Contractual, financial, invoicing and administrative records
May be retained for up to 6 years, or longer where required by applicable law.

Marketing contacts and preferences
For as long as relevant to the subscription or relationship, subject to your right to unsubscribe or object and to periodic review.

Different periods may apply where we are required to follow the retention rules of a commissioning organisation or where information must be kept for a specific legal, regulatory, contractual or claims-related reason.

We periodically review the information we hold and securely delete or anonymise information that is no longer required.

9. How we protect information:

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure. Coaching and mentoring notes are maintained electronically; we do not maintain routine paper coaching files.

10. Your data protection rights:

Depending on the circumstances and applicable law, you may have rights to request access to your personal information, ask us to correct inaccurate information, request erasure or restriction, object to certain processing, request portability of information you provided to us, and withdraw consent where processing is based on consent.

Not every right applies in every situation. To exercise a data protection right, contact us using the email or telephone number above. We will respond in accordance with the time limits required by applicable law.

11. Marketing communications:

If you ask to receive resources, leadership insights, masterclass invitations or other updates, we may use your contact details to send those communications where permitted by law. You can unsubscribe at any time using the unsubscribe option in the communication or by contacting us.

12. Concerns and complaints:

If you have a concern about how we use your personal information, please contact us first at coachingwithantoine@gmail.com.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. Information about making a complaint is available at ico.org.uk. If another supervisory authority is applicable to your circumstances, you may also have the right to contact that authority.

13. Changes to this notice:

We may update this privacy notice from time to time to reflect changes in our services, technology, legal requirements or working practices. The date at the top of this notice shows when it was last updated.

Note: Specific contractual arrangements with commissioning organisations may be subject to additional or different data protection requirements.
